How to Improve Staff Communication in Your Small Business

Good communication is the bridge between confusion and clarity.

Communication is the foundation of any relationship. When you encourage people to voice out their thoughts, you could avoid conflicts and misunderstandings.

With effective communication, you and your team could increase productivity and resolve issues quickly. Here are some ways to improve and practise excellent communication in your business.

1. Combine different forms of communication methods

You could reach out to your staff in many ways. We understand that some prefer the convenience of sending out emails. However, it’s not the only means of communication you could use.

To improve communication, think about using a personable approach to deliver your messages. Consider face-to-face communication when possible. Video and voice calls are great too. When you could hear their voice or see their face, you could better assess how an employee receives your message. Use nonverbal cues, such as the tone of their voice and facial expressions.

2. Limit distractions and practice active listening

The most effective way to improve staff communication is to lead by example. If you want your staff to listen to you during meetings, do the same when they’re talking to you.

Listen attentively. Ask the right questions and provide feedback. Limit distractions by turning off your computer if it’s not necessary for the meeting. In addition, put your phone on silent mode.

When your employees see the way you’re listening to them, they will follow your lead.

3. Maximise Meetings

Meetings are perfect for keeping everyone up-to-date with what’s going on in your company. However, some business owners often turn meetings into long monologues.

Maintain two-way communication during meetings. Allow your staff to speak up — especially on issues that directly affect them. Ask for their opinions and encourage them to provide feedback.

4. Make sure important, and relevant documents are easily accessible for your employees

Your employees should easily be able to access company policies and documents on business processes. If you’re not around to answer their questions, they have these documents to refer to for answers.

Managing employees and encouraging proper communication in the workplace can be overwhelming. But when you incorporate these communication techniques into your daily workflow, your staff would become more active in helping you achieve your business goals.
